Rules & Regulations for Bridal Survival Events
Show fees entitle Exhibitor to: one table, chair, table covering, the
use of a sign printed with name of business or service, name address &
phone printed in brochure distributed at show (if we receive information
requested on contract before printing deadline), general pre-show advertising,
and follow up list of brides.
- When your contract has been returned and your
balance paid, you will be listed on our participating wedding website (www.DelawareValleyBride.com)
under one category for one year.
- Sponsor will retain the right to change the show dates specified, should
factors beyond Sponsor’s control necessitate such change.
- In the event that there are fewer than 20 Exhibitors in any show by 30 days
prior to the show date, Sponsor shall have no liability to Exhibitor beyond the
return of all deposits made prior to cancellation. Every reasonable effort will
be made by the Sponsor to avoid cancellation of any show.
- In the event of unforeseen events, such as severe weather conditions, the
bridal show may be postponed. We will post this information on our phone
system, and whenever possible we will call all Exhibitors as soon as such
determination has been made. All contracts and payments will be applied to the
new date.
- The Sponsor reserves the right to alter or relocate any booth position for
whatever reason the Sponsor or the facility management shall deem appropriate.
- Exclusive rights of representation of a specific business or service is not
guaranteed unless specified in the contract.
- Deposits are non-refundable. The Sponsor shall not be obligated to refund any
part of the exhibit fee in the event that the Exhibitor shall cancel for any
reason whatsoever, after the signing of this contract. Full payment is due 30
days prior the event, Cancellations must be made in writing, at least 30 days
prior to the event; stage participants are required to provide written notice
of cancellation 90 days or more before the event. Cancellations not made in
accordance with these policies will result in a charge of deposit and penalty
equal to the full booth price as contracted
- Neither the Sponsor nor the management of the show facilities shall provide
any security services beyond those normally provided, unless otherwise
specifically agreed to in writing. Neither the Sponsor nor the facility
management shall be responsible for, nor will they guarantee the Exhibitor
against, loss of any kind, including, but not limited to, damage due to adverse
weather conditions, fire, casualty, or acts of God.
The Exhibitor acknowledges that neither the Sponsor nor the Show Facility
carries insurance of any form on the exhibits or property of the Exhibitor.
Neither the Show Facility nor the Sponsor assumes any liability for loss or
damage thereto from any cause whatsoever.
- The Sponsor will in good faith guard against loss of your property, but urges
that you carry a Floater Policy against
fire, theft, etc. Such insurance shall be at your own expense. The Exhibitor
agrees that such insurance policy contains a waiver of subrogation clause so
that the insurance company will not be in any position to bring suit in the
name of the Exhibitor against the Sponsor or the Show Facility.
- Sponsor shall not under any circumstances be held responsible for any injury
to or death of, any person(s) and/or any property damage in participation of
the Show.
- Every reasonable endeavor will be taken to safeguard and protect the
Exhibitors property and all exhibit display material. The Sponsor will not be
deemed to have assumed any liability or responsibility by using its best
efforts as aforesaid.
- Exhibitor agrees to assume entire responsibility and liability for losses,
damages and claims arising out of injury or damage to exhibits, displays,
equipment and other property brought upon the premises of the Facility, and
shall indemnify and hold harmless the Sponsor and the Facility of the Show,
their agents, servants, and employees from any and all losses, damages and
claims.
- Due to the inability to determine damages in the event of a default by the
Exhibitor, it is expressly understood and agreed that all payments made by the
Exhibitor hereunder shall constitute liquidated damages which Sponsor shall have
a right to retain.
- Exhibitor agrees to abide by all rules and regulations including, but not
limited to those promulgated by federal, state and local governments, by Show
Facility
Management and by the Sponsor. Any rules and regulations promulgated by the
Sponsor shall be through written notice to the Exhibitor, and shall be adhered
to.
The Sponsor reserves the right to discontinue any exhibit in violation of such
rules and regulations, and to terminate this contract in the event of such
violation.
- When any exhibit is discontinued for reasons of its violation of any of the
aforementioned rules and regulations, the Exhibitor shall not be entitled to a
refund of any monies paid to the Sponsor, its agents, servants and/or
employees. The Sponsor shall not be responsible for any expenditures attendant
to such termination.
- The Exhibitor agrees to indemnify and hold harmless the Show Facility (Mall,
Hotel, or other facility), it’s Management, it’s Merchants, whether owning or
leasing space, their agents, servants, and employees, from and against any and
all liability, claims, demands, expenses, fees, fines, penalties, suits
proceeding, actions, and causes of action of any kind or nature whatsoever,
arising or growing out of or in any way connected with the Exhibitor’s
activities on the property of the Show Facility.
The Exhibitor agrees to keep and leave his exhibit space in a clean and orderly
fashion and to provide all required janitorial services within the vicinity of
his exhibit space. Exhibitor is financially responsible for any damage to the
premises or equipment therein by Exhibitor, his agents or employees. A cleaning
fee may be charged if debris is left at booth at conclusion of show.
- Exhibitors are not permitted to share a single booth, except at the
discretion of the Promoter, or to promote another business outside their own.
- An Exhibitor may only display products or services sold by him in his regular
course of business. Only products or services pertinent to, or closely related
to, the theme of the show will be permitted. A Merchants’ Permit is required at
selling shows in select locations.
- All materials used in the booth for decoration shall be of the approved,
flame-proof type. Exhibitors shall not use helium or other flammable materials,
or must have prior written approval and must be in compliance with local fire
codes and ordinances
- Unless expressly approved by Sponsor, exhibitor shall refrain from conducting
cash and carry sales from his booth although contracts may be signed. Retail
sales of any sort (i.e. food, beverages, merchandise) must be approved by the
Sponsor.
Exhibitors are encouraged to offer drawings, souvenirs etc., but no Exhibitor
may advertise or distribute tickets for prizes or giveaways which are contingent
upon a purchase or conduct any other promotions with obligations imposed.
- All sound-making equipment shall be maintained at a level acceptable to
Sponsor, Show Facility, and in consideration of other vendors.
- All extension cords must be securely and safely taped down by the Exhibitor.
Cord (conduit) covers may be needed in some locations. -
- Exhibitors are prohibited from putting nails, tacks or screws or other
damaging materials in the floors or walls of the establishment
- Any unlawful or immoral activity considered inappropriate by the Sponsor or
Facility Management will result in immediate termination of such activity or
cessation of occupancy of the space/table provided under this agreement.
- The rights obtained by the Exhibitor under this agreement or any other part
thereof shall not be assigned or sublicensed without the written consent of the
Sponsor.
- Only under a subsequent mutual agreement signed by both the Exhibitor and the
Sponsor, shall any modifications or changes be made to this agreement.
- Exhibitor agrees to pay Sponsor the full fee as per contract. Payments
rendered will be forfeited for early show withdrawal. Partial payments must be
completed. Exhibitor will be held responsible for any collection fees and/or
legal fees incurred in order to satisfy delinquent accounts and contractual
obligations.
- Cancellation by the Exhibitor must be made in writing at least 60 days prior
to the event, verified by US Postmark. Cancellations and/or credits are subject
to a $50 processing lee. Sponsor retains the right to cancel participation by
any exhibitor, for any reason including, but not limited to failure to maintain
timely payments.
- No Periodicals, Publications, Newspapers, or like materials may be
distributed without the written consent or the Sponsor.
